I’m writing on behalf of Ms. Marina Darakhvelidze, who is registered to have a presentation on the conference on June 23. Thank you for sending information on the matter,
As far as we have a very limited time and in order to timely process purchase of travel ticket and accommodation etc. Furthermore, if the lump sum amount is sent via bank, it will take additional 3-4 working days.
Unfortunately, the circumstances above make Ms. Darakhvelidze’s visit to Vienna not feasible.

Dear Ms Darakkhvelidze,
In order to enable us to start with the administrative arrangements for the ICARO2 conference, we would appreciate you read the below information regarding the travel arrangements for invited speakers.
Based on present quotations, we would offer you a travel lump sum of
approximately €810
to cover your airfare to and from Vienna. You will be fully responsible for making your own travel arrangements and for cancellation costs, if any. The Agency would not accept any claim for reimbursement
of additional travel expenses later on. Please note that this amount may change slightly due to price changes and exchange rate fluctuations.
LIVING ALLOWANCE LUMP SUM
In addition to the above, you will receive a lump sum to cover your living expenses, including incidentals connected with the meeting (i.e. accommodation,
meals, transportation, visa fees and other related expenses). At present, this lump sum amounts
to €1420
and is subject to change depending on the applicable UN subsistence allowance at the time of finalizing the travel document. Please note that the lump sum has been calculated on the assumption
that you stay for the whole conference (5 nights). In case you plan to stay less nights, please inform us.
HOTEL ACCOMMODATION:
Please find attached a list of hotels and instructions on how to book a room. Reservation requests should be sent
directly to the respective hotel. Please note that definite hotel rates will be confirmed by the hotel once you send your booking request.
The official letter of invitation is being prepared. Between today and next Monday you should get it by email.
IMPORTANT:
Please note that this is an
informal communication. An official invitation letter can only be sent after approval is obtained from our senior management and we have a valid contract. We advise you
not to make flight bookings or other arrangements (except for tentative arrangements that can be cancelled without cost) based on this e-mail.
