Subject: RE: EIDSS Open Architecture Description

Natalia and colleagues,

As promised, we carried out the comparison of the two lists of reportable diseases, one provided by the NCDCPH and the other derived from the EIDSS database.

There are several options:

·         Sheet # 1: list of diseases disaggregated to the lowest unit -  as this level in an interest to our CR, in every row, we have indicated relevant codes, diagnosis ID and guid from the EIDSS for your and our convenience

·         Sheet # 2: list from the EIDSS, with comments and relevant ICD codes at higher level (we mean code ranges (e.g. 90-99) and group codes (A23  - which in turn is broken down to A23.0, A23.1, A23.2 and etc), however there are sporadic cases where actual disease codes are indicated (e.g. A05.1)

·         Sheet # 4: list of diseases as submitted by the NCDCPH recently…intact…based on which we did this comparison

·         Sheet # 3 -  is just  a working document, so plz ignore

We believe, this helps translating the CR disease list (disaggregated) into the EIDSS language (largely aggregated) easily.

Please, let us know if anything in the document requires further clarification. We’ll be happy to help in any way we can.

Best,

Dear Aleko,

Please be noted that Andrey and Olga have updated EIDSS OA service and it should be available for your team now. The issue with diagnoses list being returned incorrectly was solved as well.

I am attaching the update on today’s discussion.

As per our agreement, please let me know if Monday 12.00 is good time for our meeting to take a look at the process of HMIS and EIDSS test data exchange.

Thanks!

Dear all,

Sending you the list of all healthcare providers having access to the CR module. As agreed the document contains the following fields:

·         Provider  ID (DB)

·         Provider ID (includes the tax and personal ID numbers, for organizations and physical persons respectively)

·         Provider name

·         Region ID (DB)

·         Region

·         Municipality ID (DB)

·         Municipality

·         Settlement ID (DB)

·         Settlement

·         Address

We’ll send the updated list of fields after the next round of discussions, having in mind that certain fields may change.

From EIDSS team, we are waiting for the similar list of providers registered in your database, so that we start comparing the two lists as soon as possible. Also, the updated activity logs.

Many thanks in advance and let’s discuss the remaining issues during our Friday’s telecon @ 10:00 am.

Looking forward to talking to you soon!

Aleko,

Thank you for your email. We have discussed your propositions internally and are ready to stage another joint call with your team.

Will 10am tomorrow work for you and your colleagues? If so, I will arrange Skype conference. If not, please provide another time for a call.

In the meantime we have the following questions:

-       Is tax ID unique for organization and does it ever change (e.g. when organization changes location, name, etc.)?

-       How does tax ID system apply to organization branches (e.g. NCDC regional branches): do branches have separate tax IDs or is one ID applicable to all branches?

-       Does HMIS contain English names of organizations (these fields are mandatory for filling in EIDSS)?

Looking forward to your reply about the possibility of a call tomorrow.

Thanks and best regards,

Dear Natalia,

First of all, I would like to express many thanks to you and the whole team for active involvement in the process and the provided information which is really helpful.

Today we had internal discussion and the only problem we faced is the issue of how to exchange information on HP level between our systems (to identify same HP in our and your database, because EIDSS is not using unique Tax ID for organizations).

The solution to this problem is to speak on common language and to get full list of Health Care Providers and their IDs on Data Base level EIDSS is using and we will merge them with our list of providers, or we are providing full list of HP providers and DB ID for EIDSS.

I think it will be better if we provide list of providers, because our DB of HP is more comprehensive and frequently updated, which is regularly validated with National Agency for Public Registry (NAPR).

We believe that we are close to the desired results, to make real time connection between CR and EIDS

We are looking forward for your reply.

Best Regards,

Alexander

I agree, it would be good to meet this week and agree details. Could we meet on 22th 10:30 at MOLHSA ? Please could you confirm if proposed time, date and place is convenient for you

Dear Kety and Aleko,

At the presentation of HMIS for the NFA working group last Friday Kety mentioned that HMIS-EIDSS link is currently under testing by NCDC. Could you please clarify this?

In general, I would like to raise the question of the testing to be accomplished in the future: what would be our schedule for testing and also what scenarios we want to cover during testing?

Also, I believe it is good time to start working on concordances between drop-down lists in HMIS and EIDSS. Would you be available for discussion of this effort this week?

Thanks in advance!

Hello everyone

Yesterday I have tested the service again and have successfuly created new human case using the EIDSS web service.

Now we will integrate EIDSS web service with our CaseRegistration module, it will take some time because there are many routine jobs such as combining territorial units of our system and EIDSS system, determining diagnoses according to which a case should be send to EIDSS system and etc.

I’ll get back to you as soon as I have additional information

Thanks everyone for your cooperation.

Dear Michael, Natalia

Thank you for the information!

Unfortunately we will not be able to use the Excel file sent by you at this stage due to the fact that it equals to development of a new database. It will not be correct because as you mentioned, types of diagnoses can be changed in the process of using the system that requires additional synchronization between databases. this attitude is not acceptable for us.

Respectively, we consider  to wait for making relevant changes to the service in order to differentiate between Agrregate and Case-based diagnoses.

Moreover, the first option of changes to be made to the service to determine diagnose types would be the most acceptable for us. We wonder if it is possible to add ICD10 Code field  together with the type field to the diagnosis class.

Due to prolongation of the connection caused by technical problems we could like to offer you another alternative. We can offer you our service that will return all cases (by time interval) to you and you will be able to link them to your system easily. We think that it is the fastest way to solve the problem.

We look forward to hearing from you regarding the above-mentioned issue.

Regards,

Vazha Ezugbaia

P.S. If you fin something unclear, we can discuss it in Skype.
