Dear IHD Colleagues,

This is the first of several weekly emails I will be sending during the FY15 Performance Review Evaluation Plan (PREP) season. The emails are meant to remind you of deadlines and tasks you need to complete in order to successfully go through this year’s PREP process.  Please keep in mind you have numerous resources to turn to during this time for answers, so please do not hesitate to ask.  At the bottom of this email you will find more info about the HR Service Center but remember your sources include your Supervisor, AGI/ATLAS, the HR Service Center, your division leadership and of course HR’s various emails.

PREP is here!

The PREP season kicked off yesterday, March 23^rd and will last for 7 weeks ending May 13.  HR held a PREP training live in US offices yesterday but don’t worry if you missed it. For people in the field, or those of you who were not able to attend, there are webinars scheduled for the rest of this week. As follows:

You should have received invitations via Outlook for these. Select what works for your schedule and please participate. You will find the review of the PREP process, timeline and system very helpful.  Some things have changed so try to attend one of these sessions.

A Few Tasks You Need to Perform This Week…

• Get to know ATLAS – you can access it through the Tools  & Resources menu in AGI. There are three “tiles” you will use: Performance and Goals, Career Development , and To Do.
• Complete your Goals  – they are in the Performance and Goals “tile” of ATLAS. Once your goals are approved/locked by your Supervisor, they should populate into your PREP form automatically. If they don’t, please check that your supervisor has approved/locked them. If they have, then contact the HR Service Center.
• Watch the Introduction to Competencies Video – you can find this in Atlas in your To Do “tile” and it will provide you with an overview of the Lominger Competencies which Abt is adopting as part of its Talent Management Program.
• Complete your Career Profile – this is in a third  “tile” in Atlas called Career Development Planning.  Note the deadline is March 27! 
• Select your Secondary Reviewers in Atlas – The deadline is April 1^st.  Do this by clicking on Prep 2015 which you’ll find in the Performance and Goals ‘tile.  Three secondary reviewers is a good number to aim for, but you can have more if you feel it is necessary. We do not recommend more than 5 secondary reviewers, but the system allows for 7.  If you are not sure who to select, talk it over with your supervisor. They have a list of projects and proposals you have worked on this year which may be helpful.

Some extra tasks if you are a Supervisor…

• Approve and lock  your direct reports’ FY15 goals. You can still unlock these if a need arises but locking them is necessary for the goals to automatically populate to the employee’s PREP form
• Remind your direct reports of the deadlines they need to comply with and ask them to check that their goals have automatically populated into their PREPs. 
• Approve secondary reviewers selected by your direct reports. The deadline is April 2^nd.

What to look for Next Week….

• Make sure your Supervisor has approved your Secondary Reviewers                                    
• If you have been asked to review a colleague, start those reviews
• It’s not too early to start your self-appraisal
• Details and dates of mandatory Supervisor Training (only for US based staff at this time)
• Announcement about small group sessions/brown bag lunches we plan to hold to answer questions about PREP
